About these terms
These terms apply to services provided by Apollo Vantage Group LLC, a Wisconsin limited liability company ("Apollo Vantage", "we", "us"), to businesses ("you"). Each project is also covered by a written quote or agreement that sets out its scope, price and dates. If that document and these terms differ, the signed document applies.
Our services are sold to businesses, not to consumers for personal use.
What we provide
We provide business systems consulting and software services: audits, integration of existing software, workflow automation, reporting, AI assistants, custom software, and ongoing monthly support. All work is delivered remotely and electronically. We do not sell or ship physical goods.
Payment
- Prices. Every job has a fixed price, quoted in writing in US dollars before work starts. We do not bill by the hour.
- Starter fixes. Paid in one payment when the fix goes live.
- Audits. Paid in full when you book the audit.
- Builds. Half of the price is due before work starts, and the other half is due on delivery.
- Monthly plans. Billed monthly in advance, starting after launch.
- Changes. Work outside the agreed scope is quoted separately, and we only start it after you approve the quote in writing.
- How to pay. Invoices are sent by email and paid online through our payment processor, Stripe, by card or bank transfer. Invoices are due within 14 days unless your agreement says otherwise.
- Late payment. If an invoice is more than 30 days overdue, we may pause work until it is paid. We will always contact you before doing so.
Refunds and cancellation
- Before work starts. If you cancel a paid audit or build before we have started work, we refund everything you paid.
- Audits in progress. If you cancel an audit after it has started, we deliver what has been completed so far and refund the fee for the portion not yet done.
- Builds in progress. If you cancel a build after it has started, we hand over everything built so far and refund any part of the deposit not yet covered by completed work. The balance due on delivery is not charged.
- Delivered work. Completed audits and delivered builds are not refundable. If delivered work does not do what we agreed in writing, our guarantee below applies.
- Monthly plans. There is no minimum term. You can cancel at any time by email, and the cancellation takes effect at the end of the month you have already paid for. We do not refund part-months.
- If we cancel. If we have to end a project ourselves, we refund any amount you have paid for work not yet delivered and hand over everything completed.
- How to ask. Email daniel@apollovantage.com. We respond within two business days, and approved refunds are returned to the original payment method within 10 business days.
If you have a problem with a charge, please contact us before disputing it with your bank. Most issues are resolved with one email.
Our guarantee
If something we deliver does not do what the written scope said it would, we fix it at no charge until it does. This covers the agreed scope. It does not cover new requirements that come later, changes made to the system by others, or failures of third-party software we do not control, and it is not a guarantee of any particular business result.
Ownership
Once a project is paid in full, you own the software we built for you, including its source code, the data in it and its documentation. We do not license it back to you. If you stop working with us, we hand over the code, documentation, credentials and data, and spend up to one working day helping whoever takes it over.
General know-how, and any reusable tools and techniques we had before the project, remain ours. Third-party software, such as the subscription tools you already use, stays under its own license terms.
Your responsibilities
You agree to give us the access and information the work needs, to make sure you have the right to share it with us, and to review and approve work in reasonable time. Delays in access or approval may move agreed dates.
Confidentiality
We keep your business information confidential and use it only to do the work. Our privacy policy explains how we handle personal information.
Limitation of liability
To the extent the law allows, our total liability for any claim arising from a project is limited to the amount you paid us for that project in the twelve months before the claim, and neither party is liable for indirect or consequential losses, such as lost profits. Nothing in these terms limits liability that cannot be limited by law.
Governing law
These terms are governed by the laws of the State of Wisconsin. Any dispute will be handled in the state or federal courts located in Wisconsin, though we will always try to resolve it directly with you first.
Changes to these terms
We may update these terms from time to time and will change the effective date above when we do. The terms in effect when you signed a project agreement continue to apply to that project.
